Byrocare

Terms of Service

These terms describe how agencies may use Byrocare, what we are responsible for and what stays with the agency and its clinicians.

01The service

Byrocare is software for running a home-care agency: client records, caregiver rosters, visit planning, visit check-in, care plan notes, a family app and billing. These terms apply to the agency that creates an account and to everyone the agency invites.

02Not a medical service

Byrocare does not provide medical advice, diagnosis or treatment. Care plans must be set by qualified doctors, nurses or therapists. Caregivers must follow those plans and escalate concerns to clinicians or emergency services. The agency remains responsible for the care it delivers.

03AI suggestions

The AI Visit Planner suggests caregiver assignments. Suggestions may be incomplete or unsuitable, and a coordinator must review and confirm every assignment. The agency is responsible for the assignments it confirms.

04Accounts and access

The agency is responsible for:

  • Keeping login details secure and removing access for staff who leave.
  • Giving each user a role that matches what they need to see.
  • Obtaining the consents needed from clients, caregivers and families, including consent for photos and family access.
  • Making sure the information it enters is accurate.

05Free trial

New agencies receive a 30-day free trial with all features. At the end of the trial the agency can choose a plan. If no plan is chosen, the account is paused and no charge is made.

06Plans and payment

Plans are priced per active client per month in US dollars, plus applicable taxes. An active client is a client with at least one visit in the billing month. Fees are billed monthly or yearly in advance, depending on the billing period the agency selects.

07Acceptable use

Agencies and their users must not:

  • Use Byrocare to track caregivers outside visit check-in and check-out.
  • Upload information they have no right to share.
  • Attempt to access other agencies' data or disrupt the service.
  • Resell or copy the service without written permission.

08Your data

The agency owns the data it puts into Byrocare. We use it only to provide and improve the service for that agency, as described in our Privacy Policy. The agency can export its data at any time while the account is active.

09Availability and changes

We work to keep Byrocare available at all times and to give notice of planned maintenance. We may improve or change features; if a change materially reduces what a paid plan includes, we will tell the agency in advance.

10Ending the agreement

An agency can cancel at any time from its account settings. We may suspend an account that breaks these terms or has unpaid fees after notice. After cancellation, the agency has 30 days to export its data before it is deleted.

11Liability

To the extent the law allows, our total liability for any claim relating to the service is limited to the fees the agency paid in the 12 months before the claim. We are not liable for care decisions, assignments confirmed by the agency, or indirect losses.
